Customer asked the following question:
For each company, a specific user is assigned. For one report in the Docentric setup, multiple templates are defined, each assigned to its own company. How can we set permissions so that only the user of the respective company can edit that company’s template?
Here are instructions how to restrict the template-related privileges by Legal entity:
1.On the Docentric AX Parameters form, under the Security menu, you need to enable the checkbox Apply Legal Entity constraint.
This setting will apply the Legal Entity data security constraint to Docentric templates for all users except those who are members of the System Administrator or Docentric AX administrator roles. You can read more about this functionality in our article: Security - Docentric AX.
2.When assigning the Docentric roles relevant for template management (i.e. Docentric AX Power User, Docentric AX Template Editor), make sure that they are assigned only for specific legal entities.
Here is a reminder how to do it: In the User roles form click the Assign organizations menu item:
In the form that opens enable the checkbox Grant access to specific organizations individually, select the appropriate organization (company), and click Grant at the bottom of the screen. A new row will be added to the form, displaying the selected organization. In this way, the Docentric AX Power User role is restricted to the selected organization (company) only.
If the user has the Docentric AX Template Editor role, repeat the same procedure for that role as well. In case the manager has been granted both roles, assigning the organization to either role will be sufficient.
Based on this setup, when user tries to download or attach a template for an organization they don’t have permission for, they will get this error message:
